Who we are

Veranda Venues (“Veranda Venues,” “we,” “us”) operates a by-invitation marketplace connecting guests with private residences in Southern California for weddings, celebrations, editorial shoots, and film production. This policy explains what personal information we collect, why we collect it, how long we keep it, and the control you have over it. It applies to this website, our concierge correspondence by email, phone, and text, and any event we help coordinate.

For the purposes of the California Consumer Privacy Act and the General Data Protection Regulation, Veranda Venues is the controller of the information described below. Our registered contact for privacy matters is listed in section 12.

What we collect

We collect only what an inquiry, a booking, or a listing genuinely requires. In practice, that falls into five groups.

Given by you
Name, email, phone number, the occasion you are planning, preferred dates, estimated guest count, and any notes you add to a concierge request — catering, valet, accessibility needs, and similar.
From homeowners
Property address, photography, insurance and permit documentation, payout details, house rules, and availability. Addresses and payout information are never displayed publicly.
Transactional
Booking dates, hours reserved, invoices, deposits, and refunds. Card numbers are entered directly with our payment processor and never touch our servers; we retain only the last four digits and an authorization token.
Technical
IP address, device and browser type, approximate city-level location, referring page, and the pages you viewed. We use this to keep the site working and to understand which homes deserve more photography.
On-site
Some residences operate exterior security cameras at entrances and driveways, disclosed on the listing before you book. Interior recording is prohibited. Vendor certificates of insurance are held for the duration of the event and the claims window that follows.

We do not knowingly collect information from anyone under 18, and we do not ask for or want sensitive categories of data — health, religion, biometrics, precise real-time location — unless you volunteer an accessibility or dietary requirement for an event, in which case we use it once and delete it afterwards.

Why we use it

Every use below has a purpose you would recognise if we described it to you at the door: to answer your inquiry, to confirm a date with a homeowner, to take payment, to prevent fraud, to meet our legal obligations, and to improve the collection. Under the GDPR our lawful bases are the performance of a contract, our legitimate interest in operating a safe marketplace, compliance with law, and — for marketing only — your consent.

We do not use your information to build advertising profiles, we do not run behavioural retargeting across other websites, and we do not make automated decisions that produce legal effects about you. A person reads every inquiry.

Discretion at a property

This section exists because it is the part people actually care about. Exact addresses, gate codes, and access instructions are released only once a booking is confirmed, and only to the named organiser and the vendors they authorise. Homeowners receive your name, the occasion, guest count, and the requests relevant to hosting you — not your contact details, your employer, or your correspondence with us, unless you ask us to make an introduction.

Guest lists you provide for security or catering are shared only with the parties who need them and are deleted within thirty days of the event. We do not publish who stayed where, we do not confirm bookings to third parties, and we do not use photography of your event without written permission. If you require a non-disclosure agreement, our concierge will countersign one before your first site visit.

Who we share it with

We share personal information with four kinds of recipients, and no others: the homeowner of a property you are booking; service providers acting on our written instructions (payment processing, email delivery, cloud hosting, analytics, e-signature, and insurance verification); professional advisers such as our lawyers and accountants; and public authorities where we are legally compelled. Every provider is bound by contract to use the data only for the service they perform for us.

We have never sold personal information and we do not share it for cross-context behavioural advertising, as those terms are defined by California law. If Veranda Venues is ever acquired, your information may transfer with the business, and we will tell you before that happens and honour this policy until a new one is accepted.

Cookies and measurement

Strictly necessary cookies keep you signed in, remember your saved homes, and protect our forms from abuse; these cannot be switched off. Preference cookies remember your region and currency. Analytics cookies, which we load only with your consent, tell us anonymised counts of how many people viewed a listing. You can withdraw consent at any time from the cookie link in the footer, and we honour Global Privacy Control signals sent by your browser.

Your rights

Wherever you live, you may ask us for a copy of what we hold, ask us to correct it, ask us to delete it, ask us to stop using it for a particular purpose, or ask us to send it to another service in a portable format. Residents of California may additionally request the categories of information collected, disclosed, and shared in the preceding twelve months, and may not be discriminated against for exercising any of these rights. Residents of the EU, UK, and Switzerland may object to processing based on legitimate interests and may lodge a complaint with their supervisory authority.

Write to privacy@verandavenues.com. We verify identity before acting on a request and respond within thirty days, or forty-five where the law allows an extension and the request is complex. There is no charge. You may nominate an authorised agent in writing.

How we protect it

Data is encrypted in transit and at rest. Access to addresses, gate codes, and payout details is restricted to the concierge staff working on your booking and is logged. Employees are trained on discretion at hire and sign confidentiality obligations that survive their employment. We review vendors annually and remove those who cannot meet our standard. No system is perfect; if a breach ever affects your information, we will notify you and the relevant regulator within the timeframes the law requires, and tell you plainly what happened.

International transfers

Veranda Venues operates in the United States, and information you send us is processed there. Where we receive personal data from the European Economic Area, the United Kingdom, or Switzerland, we rely on the European Commission’s Standard Contractual Clauses together with supplementary technical measures. A copy of the clauses is available on request.

Changes to this policy

When we change something material we will raise the version number above, date the revision, and email anyone with an active booking at least fourteen days before it takes effect. Superseded versions are archived and available on request, so you can always see what you agreed to and when.

Reaching a human

Privacy questions, deletion requests, and NDA arrangements are handled by our concierge office rather than a ticketing queue.
